The appointment metrics worth tracking

Track the full path

Track inquiries, completed questionnaires, qualified prospects, bookings, attended meetings, applications, issued business, and acquired clients. Keep definitions consistent so one month can be compared with another.

Use explicit denominators

Show rate is attended meetings divided by booked meetings. Close rate can mean different things: define whether you mean acquired clients divided by attended meetings, submitted applications, or another stage. Label the denominator whenever you share the metric.

Calculate acquisition cost consistently

Cost per acquired client equals the acquisition costs you include divided by acquired clients. Decide whether your cost definition includes appointment fees, internal labor, software, and follow-up, then apply it consistently. A marketing-only figure should be labeled as such.

Allow time for outcomes

A consumer who attends this week may make a decision later. Group results by the period in which prospects entered your process and revisit that group as outcomes mature. Comparing fresh appointments with fully developed revenue can distort the picture.

Keep small samples in perspective

A handful of appointments can expose handoff issues but cannot establish a dependable long-term close rate. Look for repeated patterns, inspect the actual conversations, and avoid treating one success or one missed meeting as a complete verdict.

Consider revenue quality as well as volume

Issued business and collected compensation are different milestones. Timing, expenses, cancellations, and any applicable compensation adjustments affect the economics. Evaluate contribution to the practice, not just a headline production number.
